Acceptance of a booking
Please note that all bookings are accepted on a request basis only. Completing an online booking form does not imply acceptance of accommodation. Any confirmation number issued by an online booking site is not proof that we have accepted your booking. No booking shall be binding until we collect a deposit and confirm the booking to you in writing.
By submitting your credit card details online you authorise us to charge the total amount to your card. We will charge the deposit amount (equal to one night accommodation or the total stay) by mail order authorisation and hold the authorised voucher for collection on arrival at the hotel. We will confirm in writing with a receipt for the booking. The balance for any services is payable at the time of check-out. If you do not provide your credit card details at the time of booking request on our secure server, you will need to contact the hotel reception to discuss other options.
On certain dates, such as high season weekends, we impose a minimum stay of two nights and have the right to refuse bookings made or adjusted to stay one night, depending on availability.
During high season periods such as the Skoll Forum Conference week, we give priority to those delegates who wish to stay for the duration of the conference by imposing a minimum stay. A deposit of the first night accommodation is required upon booking and the deadline for cancellation or alterations to the booking is 30 days before the booked arrival date.
Best Price guarantee
Direct bookings are the guaranteed way to ensure the lowest price. This does include all inclusive rates where combined offers may be considered as value added. Our prices include government VAT at the current rate, unless advertised otherwise.
Additional Group Terms and Conditions
- A booking for five or more rooms (or eight or more occupants), or for our Meeting Room or other events, is considered a group booking.
- Our rates are nett non commission-able.
- Group cancellation policy is one month in advance of booked arrival date.
- A deposit of the first day is due upon booking;refundable up to 30 days in advance, forfeited if cancelled later.
- We accept Visa and Mastercard, with full card details and authority to charge the card. We offer BACS payments from UK registered companies. The final invoice to be settled 14 days before customer arrival with VAT invoiced raised upon payment receipt, or when the customer checks-out.
Third Party Bookings
We accept third party bookings at our discretion and our rates are nett and non commission-able. We require the customer name with the reason for third party involvement at the time of booking.
We accept BACS payments from UK registered companies with prior authorisation. Our bank details will only be provided at our discretion. Pro Forma invoice will be raised, with a VAT invoice sent at the end of the booked stay.
Cheques are not preferred. If paying deposit by cheque, please add a £2 handling fee. We can only accept Sterling cheque drawn on a UK registered bank.
Credit Card Security
We accept card payment via Mastercard or Visa. American Express is accepted with a 3% handling fee for non-UK banks. For security we must have cardholders written authorisation. We cannot accept credit card details verbally. Website servers stores and holds credit card information securely in line with regulations. The credit card used at the time of booking may be requested at the time of check-in.
Check-in time is set as 4pm. If a room is cancelled less than 24 hours in advance (48 hours for a booking commencing on Friday or Saturday) any prepaid deposit is forfeited. If a booking is a no-show, or cancelled on the day of arrival, the full accommodation amount will be charged. A booking made on a third party website may have a different cancellation policy. Please refer to other cancellation terms for special dates.
Smoking is not permitted anywhere on the property, other than in designated smoking areas outside the building. You must not smoke in any part of the hotel, or interfere with our fire detection system or with any emergency equipment. Your booking will be immediately terminated. We may impose a damages fine.
We may at our sole discretion request the payment of any damages caused to our property. Any damages costs may include specialist cleaning, repair or replacement of damage by you to our property, the cost of the room or facility for any period it is unusable and our administration expenses. As example, the loss of key/access card/fob will be charged at £58 exc. VAT.
We ask that you contact the reception if you have any issue or complaint during your stay. Our staff will do whatever they can to find solutions to problems that have not lived up to your expectations. In this way, we are able to take care of the problem right away and, as far as it is possible, find a solution for you. Complaints may be rejected if you have failed to make contact during the stay.
You must be aged 18 years and over to stay alone. We are not able to accept solo guests under 18 years of age.
All occupants must be able to show photo identification (a driver's licence, passport or national ID card) matching the name(s) on the confirmed booking. It is a legal requirement for every guest aged 16 years and over who is neither a British nor Commonwealth citizen to provide at check-in a valid passport or National identification. If you are unable to produce this to the satisfaction of the hotel we may terminate your booking without refund. The River Hotel reserves the right of refusal.
